Job Description:
The Executive Assistant is responsible for providing
comprehensive support to the CEO and CFO. This dynamic position
requires the ability to anticipate needs, think critically, and
offer solutions to problems with a high level of professionalism
and confidentiality. The ideal candidate is highly self-motivated,
professional, capable of prioritizing tasks and managing their own
workload. The Executive Assistant enhances executive effectiveness
by providing personalized and timely support. The Executive
Assistant will have the ability to work independently on projects,
from conception to completion, and must be able to work under
pressure at times to handle a wide variety of activities and
confidential matters with discretion.Essential FunctionsProvide
sophisticated calendar management for CEO and CFO. Prioritize
inquiries and requests while troubleshooting conflicts; make
judgements and recommendations to ensure smooth day-to-day
engagements.Act as a liaison and provide support to the Board of
Directors. Arrange and handle all logistics for Board meetings and
events: schedule meetings; draft agendas, develop, compile, and
distribute presentation materials; and record meeting
minutes.Complete a broad variety of administrative tasks that
facilitate the CEO's ability to effectively lead the organization,
including: assisting with special projects; designing and producing
complex documents, reports, and presentations; collecting and
preparing information for meetings with staff and outside parties;
composing and preparing correspondence; making travel arrangements;
and completing expense reports.Serve as the primary point of
contact for internal and external constituencies on all matters
pertaining to the CEO and CFO, including those of a highly
confidential or critical nature. Prioritize and determine
appropriate course of action, referral, or response, exercising
judgement to reflect Executive's style and organization policy.Work
closely with the Executives to keep them well informed of upcoming
commitments and responsibilities, following up appropriately. Act
as a "barometer," having a sense for the issues taking place in the
environment and keeping the CEO and CFO updated. Anticipate needs
in advance of meetings, conferences, etc.Coordinate all Executive
Team meetings and assist with staff meetings and events as
needed.Provide "gatekeeper" and "gateway" role, providing a bridge
for smooth communication between the CEO and staff, demonstrating
leadership to maintain credibility, trust, and support with the
Executive Team.Manage all aspects of the organization's office
services. Evaluate and assist in developing office policies and
procedures for improved workflow and anticipate future needs as
organization grows.Replenish office materials such as snacks,
printer supplies, paper, office supplies, etc.Provide hospitality
to all guests and help to create a welcoming environment.Required
QualificationsBachelor's degree required5-10 years of experience
supporting C-Level ExecutivesExpert proficiency with Microsoft
Office (Outlook, Word, Excel, and Power Point) and Adobe
AcrobatKnowledge, Skills & AbilitiesExceptional organizational
skills and impeccable attention to detail.Ability to make decisions
recognizing established precedents and practices and to use
resourcefulness and tact in solving new problems.Strong written and
oral communication skills to include conversations with high-level
external parties.Ability to exercise judgment and discretion in
applying and interpreting rules, regulations, policies, and
procedures.Strong analytical and research skills; ability to
ascertain priorities and meet deadlines and objectives.Ability to
react with appropriate levels of urgency to situations and events
that require quick response or turnaround.High degree of
professionalism in dealing with Board members, senior executives,
and staff.Make appropriate, informed decisions regarding priorities
and available time.Ability to complete a high volume of tasks and
projects with little or no guidance.Able to maintain a high level
of integrity and discretion in handling confidential
information.Excellent judgment is essential.Ability to establish
and maintain effective working relationships.Work EnvironmentWhile
performing the duties of this job, the employee regularly works in
an office setting or remote.Physical DemandsThe physical demands
described here are representative of those that must be met by an
employee to successfully perform the essential functions of this
job.Ability to communicate orally with management and other
co-workers is crucial. Regular use of the telephone and e-mail for
communication is essential. Sitting for extended periods and the
use of hands to finger is common. Hearing and vision within normal
ranges is helpful for normal conversations, to receive ordinary
information and to prepare or inspect documents.No heavy lifting is
expected. Exertion of up to 10 lbs. of force may occasionally be
required. While performing the duties of this job, good manual
dexterity for the use of common office equipment such as computer
terminals, calculator, copiers, and FAX machines is needed. The
employee is occasionally required to walk, climb, balance, reach,
stoop, kneel, crouch, and crawl.TravelSome travel and overnight
